Inventory

How do I receive a purchase order?

Record the goods that arrived, in full or in part, so stock and cost layers are created.

You will have stock added for the goods that arrived, at the order's prices.

Before you start

The PO must be Sent or Partial. Check the delivery against the order.

Steps

  1. Open the purchase order and choose ⋮ More Actions → Receive PO.
  2. For each line, enter Qty to Receive (the dialog shows ordered, received and remaining).
  3. Press Receive PO.

Repeat when the rest arrives.

What you will see

Each line gets a cost layer at its unit cost, the warehouse's stock rises, a Stock In movement is written, and accounting books Inventory against Accounts Payable. The PO is Partial until nothing remains, then Received.

If something goes wrong

  • "Quantity received exceeds the remaining order quantity." You cannot receive more than ordered, and line quantities cannot be edited after sending, so raise a new order for the extra.
  • Tax, shipping and discounts do not enter the cost; only quantity × unit cost.
  • If one line fails, earlier lines may already be received, so check the PO afterwards.
  • Receiving never triggers or clears a low-stock alert.
  • Goods always go into the PO's warehouse; for another warehouse, transfer afterwards.
