The list
Tiles show a count per status; click one to filter. Filters: search (order number, name, email), status, channel (Store or Platform) and a date range. 50 per page. Platform rows are read-only HQ sales. The status cell can show Direct Payment, Partly refunded and Awaiting files badges. There is no export and no manual order creation.
Statuses
Pending, Processing, On Hold, Paid, Shipped, Completed, Cancelled, Refunded, Failed. You can set any status except Refunded from the row dropdown or the order page, with no confirmation. Refunded happens only when you record a full refund.
Settling is what matters: an order is settled when Paid, Shipped or Completed, or Processing or On Hold with a payment date. Moving an unsettled order to Paid, Processing or Completed settles it: the payment date is set, stock is reduced, downloads and memberships are issued, the paid invoice is created and the sale is booked. Settling happens once; re-saving the same status does not repeat it.
- Shipped: from Paid, Completed or Processing it commits Inventory's reserved stock and texts the customer (if SMS is on). From any other status nothing happens beyond the label. Note that Processing includes unpaid gateway checkouts. No email is sent for shipping.
- Cancelled or Refunded: stock is returned for settled orders with their own stock. Cancelling a paid order refunds nothing; the order page then warns that the money has not been refunded.
- There is no Delivered status and no tracking field.
Bank transfers
A bank-transfer order stays Pending with no stock or access. Review the Direct Payment review card (tracking code, receipt), then press Confirm Payment. The order becomes Processing with a payment date, even though the toast says "marked paid". The customer gets the invoice email, but no confirmation email or text.
Gateway orders
Re-verify payment (ZarinPal orders in Pending or Processing) asks the gateway again and settles the order if it was actually paid. A gateway order unpaid after about an hour is cancelled automatically, silently, and can still settle if the customer pays later.
The order page
Meta card with a staff-only Notes box; Note to Customer (an in-app notification, no email or text); Documents (Invoice and Packing Slip PDFs, emailable); line items with cost and margin once shipped; an Activity timeline. The Documents invoice is a rendering of the order; the real invoice is created in Invoices when the order settles (not for zero-total orders).
Refunds
The Payment and refunds panel records refunds (no money moves from there, except the Stripe and Saman buttons). A partial refund leaves the order as it is; a full refund makes it Refunded, releases held stock and, if "Return the items to stock" is ticked, restocks. See the Invoices help for the dialog.
What customers get
Email: order confirmation (gateway orders), "order received" (bank transfer), invoice PDF (on settlement), print-file reminders. Text (if enabled): confirmed, shipped, cancelled. Admins get bell alerts for new orders, payments to verify, payments, and cancellations.
