Journal entries

Drafts cannot be edited, posted entries are corrected by reversal, and how numbering, filters and the duplicate warning work.

Accounting → Journal Entries lists entries, 10 a page. Filters: entry number (partial), status, origin (all, posted for a document, manual), source document, dates. Click a row to see its lines.

States

  • Draft: no effect on the books. It cannot be edited; you can Post it or Delete it (a hard delete, no Trash).
  • Posted: takes a number <year label>-<6 digits> at posting and a security stamp chained to the previous posted entry. Never edited or deleted in the application. (The database itself does not forbid it, and nothing in the screens checks the chain.)
  • Reversed: an opposing entry cancelled it.

Reversing

Reverse posts, immediately, a new entry with inverted lines, dated like the original. Reversing a reversal is allowed. If the original's period is closed the reversal is refused.

New journal entry

Date, description (required), up to 10 supporting documents, and at least two lines of account (ledger accounts only), debit or credit, amount and, where the account has a rule, a dimension. Debits must equal credits. It saves as a draft; incomplete lines are dropped without a message. There is no per-line description and no foreign currency.

A warning "This may post the document twice" appears when your lines debit receivables and credit revenue for a document that was already posted automatically; Save anyway overrides it.
