Statuses
Draft → Sent → Partial → Received, plus Cancelled. There is no "closed" status. Filters: PO number, supplier, status and created-date range.
Creating and editing
A PO takes a supplier (active ones only), a Warehouse (chosen once; it cannot change), Expected At, a Note, and lines with item, quantity (a blank quantity becomes 1), unit cost, discount and tax %. Order-level discount, tax and shipping are on top. The currency is the site currency. Only a draft can be edited; once sent, lines and prices are locked.
The Note is printed on the PDF sent to the supplier even though its placeholder says "Internal notes".
Send PO
From the ⋮ menu. The supplier needs an email ("This supplier has no email on file"). The PDF is generated and emailed, then the status becomes Sent; a mail failure after queuing is not reported. Sending changes no stock. The email and PDF follow the site's language, not yours.
Receive PO
Available on sent and partial POs, into the PO's warehouse. Enter the quantity to receive per line (never above what remains). Each receipt creates a cost layer at the line's unit cost, raises stock on hand, writes a Stock In movement and updates the line. When nothing remains the PO becomes Received, otherwise Partial. Accounting books Inventory against Accounts Payable for the received cost.
Tax, shipping and discounts do not enter the cost layer or the accounting entry; only quantity × unit cost does. There is no landed-cost feature. Receiving never raises or clears a low-stock alert.
If a line fails mid-way, earlier lines may already be received.
Cancel PO
Allowed on draft, sent and partial POs after confirmation. Cancelling a partial PO keeps what was received (layers and entries are not reversed) and the rest can no longer be received. A received PO cannot be cancelled. No email goes to the supplier.
Numbers
Default PO-{YYYY}-{seq:4}, changed in Settings. A number is never reused, even for a cancelled order.
