Bookings

Events

An event is a bookable service with weekly hours, not a date; what each field does, what customers see, and why a booked event can only be deactivated.

Every row is a bookable service such as "30-minute consultation". It repeats every week on the days you open; it is not a date on a calendar.

The list

Filters (Event ID, Title, Type, Status) apply when you press Search. The Reservations column counts every appointment that is not cancelled, so it includes unpaid holds, completed, no-show and trashed ones; it is not "upcoming". Row actions: View public page, Edit, Activate or Deactivate (no confirmation), Move to Trash (no confirmation). The Trash tab offers Restore and Delete permanently.

The form

  • Event Title, Booking URL Slug (the public address /booking/your-slug, unique, letters, digits and dashes; changing it changes the address), Status, Event Description (shown on the public page) and Cancellation Policy (up to 2,000 characters).
  • Type of Assignee: Single or Multiple (round robin). Assignees are required.
  • Event Duration (minutes), Buffer Time (gap between slots; a 30-minute event with a 15-minute buffer starts every 45 minutes), Minimum Advance Notification Time (minutes) and Booking Window From Today (days; blank means 60).
  • Payment enabled and Price (above zero). The gateway is the one set for the whole site.
  • Timezone (the hours below are read in it) and Active Days and Hours: add one or more From-To ranges per day; a new event opens Saturday 09:00-17:00 only. Ranges cannot overlap or run overnight.
  • Blocked Dates / Times: one date per row. Fill both From and To to block part of a day; leave either blank and the whole day is blocked.
  • Custom Fields: text box, text area, number or checkbox, each with a unique label and a Required switch. Answers are saved by field only, so renaming or removing a field can leave answers without their question.
  • Cancellation Cutoff (hours of notice) and Email the customer when marked as a no-show (off by default).

Which contact details customers must give is a site-wide rule in Booking settings, not per event.

What customers see

/booking lists active events; /booking/slug shows four steps: the service, a provider (if the event has assignees), a date and time, and their details. Times are shown in the visitor's own timezone with no label, while hours are defined in the event's timezone. Paid events end at the gateway or the bank-transfer form.

Deactivate or delete

Deactivate hides the event from the list and stops new bookings; its page still opens with "This service is currently unavailable". Existing appointments are untouched. Move to Trash is refused while the event has any appointment, including cancelled and trashed ones, so an event that was ever booked can only be deactivated. Restore fails if another active event took the slug. Delete permanently needs the purge permission and removes the schedule and blocked times.

Permissions

booking.events.read (own events; read_all for all), write, manage_all (edit others' events), delete, purge. Creating and editing also needs a plan that includes event management.
