Customers & Leads

Leads

A lead has three states and several sources; converting opens a review form, creates a customer and leaves the lead, and form-created leads can silently fail.

A lead is someone who is not a customer yet.

The list

Columns: ID (L-n), name, source, mobile, assignee, status, created. Newest first; no sorting, import or export. Filters: ID, name, mobile, email, source, assignee, status and a date range, kept in the address. Ten per page, with Active and Trash tabs.

Bulk actions (Active tab): Assign and Move to Trash, up to 200 at a time, each row reported separately and skipped if refused.

Adding and editing

Required: first name and last name, and at least one of mobile or email. Everything else is optional (phone, province, city, address, postal code, company, company type, note up to 2000 characters, assignee). Iranian format rules apply only in the Farsi admin. Source is not editable.

Where leads come from

An admin-created lead has the source manual. Others arrive by themselves: the website (default website), the newsletter strip (newsletter), a store "request a quote" (store-quote), a live-chat escalation (live-chat, shown without a label) and a form (form:<slug>). Leads that arrive this way are unassigned and notify the admins. The public route allows 10 per address per hour.

A form that lacks a first and last name, or both mobile and email, creates nothing and says nothing. A duplicate from a form is also dropped and only logged on the server, so a missing lead is not proof the form failed to send.

Only three states

New, lost, converted. Tick Mark as lost on the edit form to set lost, untick it to return to new. Converted is set only by converting. The list is short on purpose: more detail belongs in a note or a task.

A converted lead is read-only unless you have the permission to manage converted leads.

Converting to a customer

Convert opens a review form pre-filled from the lead (names, mobile, phone, province, city, address, postal code, email, company, assignee; the note and any inquiry message are joined). Edit anything, then approve.

  • The customer needs a first and last name and a mobile or email, and a company name for a company.
  • The lead is not deleted: its status becomes converted, and it links to the new customer, who gets a new CU-n code. No contact is created.
  • It is a copy: later edits to the lead do not change the customer.
  • Converting needs the customer-write permission. The button shows for everyone, but the server refuses without it.
  • Duplicates are checked against customers. A lost lead can still be converted; a trashed one cannot.

Duplicates

Saving is refused if the mobile or email matches another active, non-trashed lead. Customers and contacts are not compared. Blank values never clash. Restoring a trashed lead fails if its mobile or email is now used by an active one.

The detail page

Opening a lead shows a read-only view and a timeline from the audit log: created, assignee change, status change, converted. There is one note field and no running notes log.

Delete means trash

Delete moves a lead to the Trash. Restore (delete permission) brings it back; Delete permanently (purge permission) removes it. If a lead has disappeared, look in the Trash first.
