Customers & Leads

Customers

One record holds the business details and the portal account; customers cannot be trashed, only deactivated or, if nothing references them, deleted, and merges happen without staff.

Everything you sell hangs off a customer.

The list

Columns: customer ID (CU-n), full name (opens the profile), mobile, email, assignee, company (or "Individual"), province, status badge, created, and actions (view, edit, activate or deactivate, delete). Filters: name, mobile, phone, email, province, company, assignee, company type, active/inactive and a date range; there is no single search box. Ten per page.

Tabs: All customers and Invited. The All tab hides invited customers, so look under Invited for someone you just invited. Merged records are always hidden. There are no bulk actions, import or export.

Adding a customer

Required: first name, last name, and at least one of email or mobile; a company name for a company. Province, city, address and postal code are optional. Choose Individual or Company: a company has a company name and a company national ID, a person a national ID. You can set a portal password, and the assignee defaults to you.

Iranian format rules (mobile 09xxxxxxxxx, 10-digit national IDs and postal code, province picker) apply only when the admin is in Farsi. The code is CU-1, CU-2 and so on, install-wide and never reset.

A phone or email already used by another live customer is refused with one message that does not say which field.

The profile page

Opened from the name. A header with outstanding amount, how long they have been a customer, open tickets and orders, and five tabs:

  • Overview: the details, the Portal access card (status, last sign-in, email verified), Change password (you set it), open tasks and related contacts.
  • Finance: bank accounts (shown masked unless you have the bank-accounts permission), invoices, subscriptions and estimates.
  • Commerce: orders, bookings and course enrolments.
  • Support: tickets.
  • Activity: the CRM history of the record.

The header menu starts a New invoice or New ticket. An empty tab means no history or that module is not installed. There are no tags, files or custom fields; there is one note.

Portal access and invitations

Each customer record is also the portal account. Statuses include active, invited, pending verification, suspended, deleted, erased and merged. Invite customer asks for an email and first name, with an expiry of 1 to 365 days (default 14), emails a register link and creates an "Invited" row; a second invite to the same email is refused. You can also set a password and activate or deactivate the account.

Merges happen by themselves

When a portal customer proves an email that already belongs to another record, they confirm a merge, and the system combines the two records: it fills the survivor's empty fields, keeps the verified mobile, moves addresses, bank accounts and related records, and marks the other as merged. No staff action is involved, there is no merge button, and it cannot be undone.

Deleting

Delete is permanent, needs the delete permission, and is refused while invoices, orders, tickets, subscriptions or wishlist items reference the customer ("other records reference them"). There is no Trash for customers. Use Deactivate to stop a customer without losing history. Erasing for data-protection anonymises the record instead of removing it.
