How the site sends and receives email. The sections on this tab come from two modules, so each needs its own permission.
Mail server (from the Inbox)
A list of outgoing mail configurations, each with Test Send. Choose SMTP (host, port, TLS, username, password) or Resend (an API key), then set the From address (required) and From name.
- Each configuration has a purpose (free text, up to 60 characters) and only one configuration may have a given purpose. One is the default.
- A blank password or key keeps the stored one.
- The last default configuration cannot be deleted.
- Test Send is limited to 5 per minute per user and shows the provider's error text if it fails.
- The port is a plain box; it is not switched automatically when you tick TLS, so match them yourself (465 and 587 behave differently).
Needs permission to manage Inbox credentials.
Mailboxes (from the Inbox)
A mailbox is an address that the site reads incoming mail from (IMAP) and answers through an outgoing configuration. Fields: address, display name, department, outgoing configuration (default: the install default), reply format (plain or branded), IMAP host, port, TLS, username, password, and an Enabled switch that makes the site poll for new mail. Row actions: Test IMAP, Fetch now, Edit, Delete.
Mailboxes are part of the Inbox plan feature. A plan without it gets errors here, while the mail server section works.
Plugin mailboxes and forwarding
For each module that sends email, choose which mailbox it sends from and add up to 10 addresses that receive a copy. Each forwarding address has a test button, and each module has a reset to default.
- A disabled mailbox cannot be chosen.
- Forwarding is not offered for Estimates, Users & Roles, Notifications and the SaaS module.
- Sign-in codes and password resets are never forwarded.
Needs Manage domains and credentials.
Email recipients
Who receives each notification the platform sends to staff, such as a new form submission or a failed system job. One box per category, with addresses separated by new lines, commas or semicolons, up to 25 each. A badge shows where the current recipients come from: set here, by permission, from the server environment, or none.
Leaving a category empty and saving switches that notification off. That is different from Reset, which goes back to the default. The categories are supplied by the installed modules plus system failures.
