Estimates

Estimate list, editor and estimate page

Filters and cards on the list, what the editor requires, and what each action on an estimate does and needs.

The list

Estimates shows ten per page, newest first. Press Search to apply the filters: number, series, title, client name, client email, status and a created-date range (created, not valid-until). Filters stay in the address, so a view can be bookmarked.

Cards: Total Estimates (the count matching your filters), Accepted Value (accepted plus converted) and Open Value (draft, sent and viewed). The two value cards add up only the rows on the current page, not the whole list. Switch between Active and Trash.

Row actions: view, edit (draft, sent and viewed only), and delete to Trash. In Trash: Restore and Delete permanently (needs the purge permission and removes the lines).

Creating an estimate

New estimate needs a Title, Client name, Client email and at least one line with a description. Optional: address, Valid until, currency (site currency by default), Tax rate (%) (one rate for the whole estimate), Notes (client-visible), Terms & conditions and a Number series (chosen once, at creation).

Tick Select from customers to fill the client from a customer record; those fields are then locked.

Lines have a description, quantity (decimals allowed), unit price, an Optional switch (the client can opt out) and + Discount (an amount or a percentage off that line, with an optional reason). Below the lines, Estimate discount takes an amount or a percentage off the subtotal, before tax. The total shown to you includes optional lines. Leave Valid until empty to use the default from settings.

The estimate page

  • More actions: Edit (drafts only here), Send (draft, sent or viewed; emails the PDF and link and marks a draft sent), Copy proposal link, Convert to invoice (accepted only), View invoice (converted) and Delete.
  • Accepted estimates show who signed and when, and which optional items were kept. Declined ones show the reason.

The success message after Send says "emailed" even if the mail system is switched off or fails, because sending is fire-and-forget. If a client says nothing arrived, check the mail settings and use Copy proposal link.

Permissions

estimates.read to view and download, estimates.write to create, edit and convert, estimates.send to send and copy links, estimates.delete and estimates.purge for Trash, estimates.settings.read and .write for settings. Admins have them all; other roles need them granted. Delete and convert also need plans that include them. Buttons are not hidden when you lack a permission; you get an error instead.
