Reorder

What appears on the Reorder page, how draft purchase orders are generated or merged, the automatic mode, and the low-stock alerts.

What appears

A row for every item in a warehouse whose available stock (on hand minus reserved) is at or below the item's reorder point. An item that is fully reserved appears even with a full shelf. Open sent purchase orders are not subtracted, so an item can be suggested again while an order is on its way. An item with no stock record in any warehouse is not on this page (it is on the dashboard card and the Low Stock report).

Rows are grouped by default supplier; those without one sit under "— No default supplier —" and cannot be ticked.

Generate Draft POs

Tick rows (or Select all, which picks those with a supplier) and press Generate Draft POs. It needs the purchase-order permission and plan feature; a view-only user can open the page but not generate. For each row, using the item's default supplier:

  • if a draft already exists for that supplier and warehouse, the item is added to it, or its quantity is increased by another Reorder Qty if it is already there, so pressing it twice doubles the quantity;
  • otherwise a new draft is created, numbered from the PO pattern, with the note "Auto-suggested by reorder automation".

The quantity is the item's Reorder Qty (at least 1) and the unit cost is the item's current Cost. Nothing is sent to the supplier and stock does not change. The Last Run panel lists new, appended and skipped rows.

Automatic mode

In Settings, Enable reorder automation site-wide together with an item's own Auto tick creates or extends a draft the moment a low-stock event fires, with no one clicking. Out-of-stock events do not trigger it.

Low-stock alerts

After a stock adjustment, a transfer or a store order reserves or ships stock (never after a receipt), the system checks the item: available ≤ 0 is "out of stock", otherwise at or below the reorder point is "low stock". Delivery follows Settings: an in-app alert to all admins (not rate-limited), an email to the listed addresses and a webhook, the last two limited to one per item and warehouse per kind per 24 hours (reset on restart). The emails are English only.
